Refunds, deposits & engagement changes

Refund and cancellation terms for financial audit engagements, deposits, and rescheduling with Kanzai Ledger Advisory in Japan.

Scope

These terms apply to professional engagements with Kanzai Ledger Advisory—statutory audits, interim ledger reviews, inventory observation, and audit readiness assessments. This website does not sell products or take online payments; refunds relate to fees invoiced under an engagement letter.

Eligibility

Refunds are considered when work has not substantially begun, when we cancel an engagement for reasons other than client breach, or when a written engagement letter expressly provides a cooling-off or termination refund. Fees for work already performed are generally non-refundable.

Timeframe to request

Submit refund or cancellation requests in writing to hello@techinfracloud.digital within 14 days of the event giving rise to the request (for example, our cancellation notice or your decision to terminate before fieldwork).

Full or partial refunds

  • Full refund of amounts paid may apply if we cancel before planning work starts and no deliverable has been issued.
  • Partial refund may apply if you terminate after planning has begun but before fieldwork: typically the deposit less documented planning time at the rates in the engagement letter.
  • No refund for completed deliverables (signed reports, issued review memoranda, completed observation days, delivered readiness scorecards).

Non-refundable items

Non-refundable items include travel already incurred for agreed inventory observation dates, third-party confirmation fees paid on your behalf, and time recorded after you authorized fieldwork to begin.

Process

Email hello@techinfracloud.digital with the engagement reference, invoices paid, and reason for the request. We confirm receipt within five business days and state whether a refund, credit, or decline applies.

Processing time and method

Approved refunds are processed within 21 business days to the original bank transfer account used for payment, unless another Japanese bank account is agreed in writing.

Cancellation and rescheduling

You may reschedule inventory observation days with at least ten business days’ notice without a fee. Shorter notice may incur a rescheduling charge up to one observation day fee if travel was booked. Statutory audit timelines tied to lender deadlines should be renegotiated in writing; compressed windows may require revised fees rather than refunds.

Deposits

Deposits stated in the engagement letter secure scheduling. Unused deposit amounts follow the full/partial rules above. Deposits are not held as a consumer product prepayment beyond the engagement context.

No-shows

If client personnel are unavailable for an agreed on-site day without timely notice, that day’s fee remains payable and is not refundable.

Work already started

Once planning memoranda, sampling plans, or fieldwork testing have commenced, fees reflect time incurred. Termination mid-engagement settles recorded hours and non-cancellable costs.

Materials

Printed confirmations, courier costs, and specialist valuation reports ordered with your approval are billed at cost and are non-refundable once ordered.

Exceptions

Nothing in this policy limits rights that cannot be waived under Japanese law. Engagement letters control if they set different commercial terms for a specific client.
